Privacy Policy

Calm Dental Studio · Effective date: October 1, 2026

Calm Dental Studio (“we,” “us,” or “our”) respects your privacy. This policy explains how we collect, use, and protect information when you visit calmdentalstudio.com, contact us, book online, or respond to our ads on Google, Facebook, or Instagram.

This Policy and Your Dental Records

This policy covers our website, online forms, and advertising. It does not govern your dental treatment records. As a dental provider, we are subject to the Health Insurance Portability and Accountability Act (HIPAA). How we use and protect your protected health information (PHI) as a patient is described in our separate Notice of Privacy Practices, which is available at our office and on request.

Information We Collect

Information you give us. When you fill out a contact form, request an appointment, call us, or submit a Facebook or Instagram lead form, we collect the details you provide, such as your name, phone number, email address, and the service you are interested in.

Please do not include detailed health information, insurance ID numbers, or other sensitive details in website or social media forms. We will discuss your health and dental needs with you privately by phone or in the office.

Information collected automatically. When you visit our website, we and our service providers collect standard technical information through cookies and similar tools. This includes pages visited, links clicked, browser and device type, approximate location based on IP address, and how you arrived at our site (for example, from a search or an ad).

How We Use Your Information

  • To respond to your questions and schedule appointments
  • To send appointment reminders and practice updates you have requested
  • To understand how visitors use our website so we can improve it
  • To measure how well our advertising works and to show our ads to people who may be interested in our services
  • To comply with legal obligations and protect our patients and practice

Advertising, Analytics, and Cookies

We use tools such as Google Analytics, Google Ads, and the Meta Pixel (Facebook and Instagram). These companies may place cookies or similar technologies to collect information about your visits to our website and other websites. This helps us measure the results of our ads and may be used to show our ads to people who have visited our site (often called remarketing).

We do not share your dental records, treatment information, or other protected health information with advertising or analytics companies, and we configure these tools to avoid sending health-related details.

You can limit this tracking by:

  • Adjusting your browser settings to block or delete cookies
  • Visiting Google’s Ad Settings at adssettings.google.com or installing the Google Analytics opt-out browser add-on
  • Adjusting your ad preferences in your Facebook or Instagram account settings

Some browsers send “Do Not Track” signals. Because there is no common standard for these signals, our website does not currently respond to them.

Facebook and Instagram Lead Forms

If you submit a lead form in one of our Facebook or Instagram ads, Meta shares the information you entered with us so we can contact you. Meta’s use of information on its platforms is governed by Meta’s own privacy policy.

How We Share Information

We do not sell or rent your personal information. We share it only:

  • With service providers who help us operate our practice, such as our online scheduling, practice management, website hosting, phone, and communication platforms, and only as needed to provide their services to us
  • When required by law, such as in response to a court order or government request
  • To protect the rights, property, and safety of our patients, staff, and practice

Business Associate Agreements

When a service provider creates, receives, stores, or transmits protected health information on our behalf, such as our practice management and online scheduling systems, we require that provider to sign a Business Associate Agreement (BAA) as required by HIPAA. A BAA obligates the provider to safeguard your health information, use it only for the services it performs for us, and notify us of any breach.

Advertising and analytics companies such as Google and Meta are not our business associates and do not receive protected health information from us.

Online Booking and Third-Party Websites

Our “Book Now” buttons take you to a secure online scheduling service operated by our practice management provider. Information you enter there is handled under HIPAA and that provider’s Business Associate Agreement with us. Our website may also link to other websites, such as social media pages and map services, which have their own privacy practices. We are not responsible for the content or privacy practices of those websites.

Phone Calls and Text Messages

If you give us your phone number, we may call or text you about your inquiry, appointments, or care. Message and data rates may apply, and message frequency varies. You can reply STOP to any text message to opt out, or HELP for assistance. We do not sell or share your phone number or text messaging consent with third parties for their marketing purposes.

Data Retention

We keep contact information from website and ad inquiries only as long as needed to respond to you and for reasonable business records. Patient records are kept for the periods required by Ohio law and professional regulations.

Data Security

We use reasonable administrative, technical, and physical safeguards to protect your information. However, no website, email, or internet transmission is completely secure, so we cannot guarantee absolute security. Please avoid sending sensitive health information through unsecured email or web forms.

Emergencies

Our website, forms, and social media messages are not monitored around the clock. If you have a dental emergency, please call our office at (740) 513-4909. For a medical emergency, call 911.

Children’s Privacy

Our website is not directed to children under 13, and we do not knowingly collect personal information from them online. Parents or guardians should contact us directly to schedule appointments for minors.

Your Choices

You may ask us to update or delete the contact information you provided through our website or ads, or to stop contacting you, by reaching out using the details below. Requests about your patient records, including access and amendment, are handled under our Notice of Privacy Practices.

Changes to This Policy

We may update this policy from time to time. The effective date at the top of this page shows when it was last revised.
